Avelo Booking Authorization & Payment Information

To facilitate concierge-level travel services, Avelo requires payment authorization from clients when coordinating approved travel arrangements on their behalf. This page outlines how booking authorization and payment information are used as part of Avelo's concierge services.

Booking Authorization

Clients who engage Avelo's concierge services may authorize Avelo to assist with travel planning, coordination, and booking activities related to their requested travel arrangements.

This authorization may include:

• Communicating with airlines, hotels, transportation providers, tour operators, and other travel suppliers

• Researching and coordinating travel options

• Submitting traveler information required to complete reservations

• Facilitating approved travel purchases on the client's behalf

• Managing itinerary-related communications when necessary

Avelo acts solely as an advisory and concierge service and does not own, operate, or control third-party travel suppliers.

Payment Authorization

To facilitate approved travel purchases, clients may voluntarily provide payment authorization information to allow Avelo to complete reservations on their behalf.

​

By voluntarily providing payment information, clients acknowledge that:

• They are the authorized cardholder or have permission to use the payment method provided

• Payment information may be used solely for travel-related purchases authorized by the client

• Travel supplier charges, taxes, fees, and applicable service fees may apply

• Reservations remain subject to supplier pricing, availability, and policies at the time of booking

• Supplier cancellation, refund, and change policies may apply independently of Avelo's policies

Avelo does not make purchases outside the scope of services requested by the client.

The client remains financially responsible for all travel purchases and applicable supplier charges authorized on their behalf.

Client Approval

 ​

Avelo will review travel arrangements, pricing, and booking details with the client prior to finalizing reservations. However, if the client has provided prior authorization to proceed under agreed-upon conditions or if immediate action is reasonably necessary due to changing availability, inventory limitations, or supplier deadlines, Avelo may finalize reservations within the scope of the client's authorization and instructions.

Information Security

Avelo takes reasonable measures to protect sensitive client information and utilizes trusted third-party service providers where appropriate. Payment authorization information is collected solely for the purpose of facilitating approved travel purchases on the client's behalf and is accessible only to authorized Avelo personnel.

Unless a client requests otherwise for future travel planning, Avelo will make reasonable efforts to securely delete payment authorization information after the client's trip has concluded and the information is no longer required.
